1. Scope of this policy
This Privacy Policy explains how Adept Suite collects, uses, discloses, stores, and protects personal information when operating the public website, web app, mobile app, and related support and billing services.
Adept Suite is primarily a B2B platform. Customer organisations control much of the operational data entered into their workspace, including details about their staff, managers, cleaners, clients, sites, shifts, inspections, issues, documents, and reports.
2. Who operates Adept Suite

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.
3. Information we collect
The information collected depends on how a person uses the Services and how their organisation configures the platform.
- Account and identity information such as name, email address, phone number, role, account status, organisation, and invitation state.
- Organisation and employment-related information such as assigned sites, role permissions, team membership, training, readiness, onboarding, and compliance records.
- Operational records such as rosters, shifts, site visits, clock-in and clock-out times, checklists, inspections, issue reports, corrective actions, client updates, notes, messages, and service reports.
- Photos, files, signatures, documents, forms, comments, and other uploaded content.
- Device, browser, IP address, app version, operating system, diagnostic, log, and usage information.
- Billing contact and subscription information. Payment card details are handled by Stripe and are not stored by Adept Suite in full.
- Support, sales, contact-form, email, and other communications with us.
4. Location and geofence information
Adept Suite may collect or process location information for specific workforce attendance and proof-of-service workflows. This may include location checks when a user starts or completes a shift, distance checks against a site geofence, and review flags where a user is outside an expected radius.
On Android native builds, if enabled by permissions and customer workflow, Adept Suite may use event-driven geofence monitoring during an active shift to remind a clocked-in user to clock out after leaving the site. This is not continuous tracking. Location permissions depend on device and browser settings, and users may deny or change permissions through their device.
Location information is used for operational validation, attendance evidence, site verification, reminders, audit history, and related support or security purposes.
5. How information is collected
Information may be collected directly from users, from customer administrators or managers, through ordinary use of the web or mobile apps, through uploaded content, from device or browser permissions, from support or contact interactions, and from service providers such as Stripe and Supabase.
Customer organisations may import or create information about authorised users, clients, sites, and operational requirements before an individual signs in.
6. How we use information
We use information to provide, secure, maintain, support, and improve Adept Suite.
- Deliver core service features, including authentication, site management, rosters, shifts, inspections, issue management, messaging, documents, training, compliance workflows, client portals, reports, and billing.
- Authenticate users, enforce role permissions, maintain tenant isolation, and protect accounts.
- Process billing, subscriptions, trials, payment failures, fraud prevention, and customer-portal access through Stripe.
- Send operational communications such as invites, password reset emails, shift updates, issue notifications, training assignments, push notifications, and support messages.
- Troubleshoot errors, monitor reliability, maintain security, and investigate misuse.
- Analyse usage and improve product performance, workflows, and user experience.
- Comply with law, enforce agreements, resolve disputes, and maintain business records.
7. Disclosure to service providers
We may disclose information to service providers that help operate Adept Suite. These providers are engaged to process information on our behalf and only as needed to provide their services.
- Stripe for checkout, payment processing, subscriptions, invoices, and customer portal functions.
- Supabase for database, authentication, storage, edge functions, and related backend services.
- Email providers for transactional and support email.
- Push notification providers and platform services for mobile or web notifications.
- Hosting, monitoring, analytics, error reporting, and support providers where enabled.
8. Disclosure within customer organisations
Operational information may be visible to authorised administrators, managers, cleaners, and client users within the same customer organisation according to role permissions and product configuration.
For example, managers and administrators may see shift activity, attendance, photos, notes, onboarding status, compliance records, and inspection outcomes. Client users may see controlled client-portal content and reports that the customer organisation chooses to make available.
9. Overseas disclosure and international processing
Adept Suite uses cloud service providers that may store or process information in Australia and overseas, including providers that operate infrastructure outside Australia.
Where information is processed internationally, we take reasonable steps to use providers and controls appropriate for the nature of the information and the Services, consistent with our obligations under the Privacy Act 1988 (Cth).
10. Security
We use technical and organisational safeguards intended to protect information, including authentication, role-based access, tenant isolation controls, backend security rules, and managed infrastructure providers.
No method of transmission or storage is absolutely secure. Customers and users must protect their own devices, credentials, exports, and downstream systems.
11. Data retention, closure, and deletion requests
We retain information for as long as reasonably needed to provide the Services, support customer organisations, maintain security and audit records, comply with legal obligations, resolve disputes, enforce agreements, and operate backups.
Retention periods may vary by data type, workspace configuration, legal requirements, and customer instructions.
Account closure or deletion requests can be made through the account deletion page or by contacting us. Some records may be retained where required for legal, security, billing, audit, compliance, backup, dispute, or legitimate business reasons.
12. Access, correction, and complaints
Individuals may request access to or correction of personal information we hold about them. Because much operational information is controlled by the customer organisation, we may direct requests to the relevant organisation or require verification before acting.
Privacy complaints can be sent to support@adept-services.com.au. We will assess the complaint and respond within a reasonable time. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
13. Marketing communications
We may send product, onboarding, support, or marketing communications where permitted. Users can opt out of marketing communications where an unsubscribe or preference mechanism is provided. Service, security, billing, and operational communications may still be sent where necessary.
14. Cookies and similar technologies
Adept Suite uses cookies, local storage, and similar technologies for essential app functions such as authentication, preferences, security, diagnostics, analytics, and product improvement.

15. Children
Adept Suite is intended for business use by authorised customer organisations and is not directed to children. Customer organisations must not invite users who are not legally permitted to use the Services for the intended workplace purpose.
16. Changes to this policy
We may update this Privacy Policy as the Services, law, providers, or business practices change. The latest version will show the effective date and last updated date.
